NSS Achieves Cleaning Milestone with Podfather

NSS Group has reached a landmark 500,000 jobs per year using Podfather. The software has eradicated paper worksheets, provided full visibility of the mobile operation, and informed the company's invoicing and reporting.

Overview

NSS Group is a specialist service provider offering building maintenance and cleaning services. The company was formed in 2018 following the merger of High Access and Nationwide Window Cleaning, and later acquired by Premier Technical Services Group (PTSG) in 2022.

The NSS Specialist Cleaning division, which achieved the half-a-million milestone, offers window and cladding cleaning, graffiti and chewing gum removal, through to sharps removal and sanitation services. They operate a 24/7, 365-day service across the UK with a team of around 285 in-house engineers, delivering planned and reactive services to major customers like Sainsbury's, Tesco, Barclays, HSBC, and Costa Coffee.

Challenge

Before the implementation of Podfather over 10 years ago, NSS faced growing administrative challenges as the scale of their operations expanded. The traditional methods they were using to track and manage jobs were no longer suitable for a nationwide operation.

  • The company relied heavily on physical paper worksheets to manage and track job completion.
  • Processing paper-based records was becoming increasingly unmanageable as the volume of jobs grew.
  • The lack of digital tracking meant there was poor visibility of the mobile workforce, causing delays in invoicing and reporting.

Solution

NSS has utilised Podfather for over a decade, integrating its logistics planning, route optimisation, and proof of delivery (POD) functionality to support its field teams. The system provides paperless job schedules directly to operatives, removing the need for physical paperwork.

Furthermore, NSS actively uses the automated capture of job completion and feedback evidence. Through the electronic Proof of Delivery (ePOD) system, engineers capture date, time, and location-stamped signatures and photographs in real-time. The company also implemented daily vehicle checks and real-time tracking of operatives to underpin health and safety monitoring and compliance reporting.

Result

The digital transformation facilitated by Podfather has fundamentally improved how NSS operates, helping them manage over 34,000 site visits a month and recording in excess of 560,000 ePOD forms in 2024. The eradication of paper worksheets has not only resulted in significant environmental benefits—saving 134 trees and 6 tonnes of CO2—but has also drastically improved operational efficiency by allowing operatives to focus on the work itself rather than completing paperwork.

In addition, the real-time reporting shared with customers has significantly improved customer service by providing instant access to service updates. The automated, digital workflows inform KPI reporting and have reduced invoicing time, leading to better cash flow for the business as they have solidified their position as the market leader.
