Anyone who works in logistics and distribution will know that chaos is a fairly accurate term describing day to day life in a transport office.  Planning and managing a delivery operation involves spinning multiple plates, whether its drivers, customers, sales team expectations or warehouse challenges.  But if you can calm the chaos, or at least streamline in, there are big cashflow benefits to be had.

Keeping Control of Cash Flow

The speed and success of your distribution process will directly impact your overall profitability and day-to-day cash flow.  Most of the companies we deal with are distribution operators delivering a wide range of products and services that are invoiced for post-delivery.  If that delivery process is convoluted and inefficient, it will impact the time it takes for invoices to be issued and payment collected.

Faster invoicing made easy

Some of the companies our sales teams speak to on a daily basis invoice days, weeks or even a month after delivery completion.  Most of these operators will be working off a paper-based process that relies on the creation, completion and return of completed delivery tickets which have to be collated and processed before an invoice can be issued.

Technology, especially electronic proof of delivery (ePOD) technology, can take the pain out of that process.  An ePOD solution will give you a real-time confirmation of what items or services were completed when.  Any discrepancies can be dealt with immediately and invoices can be issued faster as a result.  We’ve seen companies go from invoicing monthly, to invoicing either immediately or within 24 hours of delivery completion.  Such a step change in process has nothing short of a huge impact on cash flow.

How does ePod work?

An ePOD solution allows you to remove paper from your process.  Your transport teams create the routes and these are shared with drivers via an app on a handheld device.  In the case of the Podfather driver app, it can be either an iOS or an Android device, even the most basic of Android device will do the job.

Once your driver is on the way a delivery ETA notification and live tracking link is issued to the customer then when the driver is onsite real-time confirmation is received.  Any item discrepancies can be dealt with and logged with the customers and electronic proof of delivery is transmitted to your back office team, and your end customer, in real-time.

Benefits to your accounts team

Accounts teams can spring into action immediately, there is no need to scan, process and file paper tickets.  Any discrepancies can be handled with ease as there is an accurate, digital record with photos and signatures showing exactly what took place. This is itself saves our customers hours upon hours of searching through paper files as our POD archive is easily searchable using a wide range of parameters.

Benefits to your customers

Transforming deliveries with digital proof of delivery (ePOD) visibility will benefit you and your customers and after all, happy customers are less likely to churn.  So what are you waiting for?  If you want to inject some energy into your delivery process and speed up cash flow we are here to help.  Just get in touch with us today.
